Webinar: Special Education Reports EF-S-05 Parts 1 and 2

The Maine Department of Education (DOE) Data Team has added a webinar to the fall reporting webinar series. The EF-S-05 is integrated into the October 1 Enrollment and Staff Certification reports. Special Education Directors are required to certify the EF-S-05 Part 1 (special education student count) and EF-S-05 Part 2 (special education staff FTE) reports before superintendents can certify overall October 1 Enrollment and Staff Certification reports.

Graduation Reporting for SY 2023-2024 Due Soon

The Graduation Report in NEO Student Data allows school administrative units (SAUs) to validate graduation counts for the school year. Students still working toward finishing their graduation requirements have until August 15th to complete them for this reporting cycle. Students who finish their requirements over the summer can be exited from State Synergy on the date of the graduation ceremony. The graduation date must be prior to 6/30. If graduation exit codes need to be updated for graduated students after State Synergy rolls over to 2024-2025 on August 15th, please contact MEDMS.Helpdesk@maine.gov or call 207-624-6896

July Reporting Due Dates and Upcoming Data Reports

The Maine Department of Education (DOE) would like to remind school administrative units (SAUs) of the following data reports and due dates that are coming up.

Truancy and Daily Attendance Certifications 

The final certifications for Truancy and Daily Attendance for the 2023-2024 school year are due on July 15th. Superintendents must certify these reports once data specialists and SAU data teams have reviewed and updated them.

NEO Staff Rollover to 2024-2025

NEO Staff was rolled to the 2024-2025 school year on July 1. All staff were updated to “pending” status during this rollover. All staff must be updated to reflect their current position. Please review all staff positions in NEO, add new staff if necessary, and update salary, contact, and position information to reflect each staff member’s position for this school year.

Graduation Report

This report allows SAUs to validate graduation counts for the school year. Due Soon: ESEA Demographics Report

The ESEA Demographics Report is an aggregation of students enrolled on 5/31* for participation in state assessments during the current assessment administration. This report includes student demographic categories for assessment and accountability purposes.

*The enrollment date for this report was corrected from 5/27 to 5/31 to accurately reflect this year’s collection period.

  • Open Date: 5/15
  • Due Date: 6/15
  • Required to Report: RSUs, CSDs, MSADs, municipal school units, Maine Indian Education, charter schools, state-operated schools, and private schools that accept publicly funded students.

State Reporting Summer Training

Mark your calendars! Registration for the Data Summer Training is currently open! Trainings are scheduled at varying locations across the state from July 29th to August 1st and August 12th to August 15th. This year’s training will focus on reporting resource updates, guidance for data reporting best practices, and assistance with student enrollment. We look forward to providing this opportunity to meet with school administrative units to network and collaborate.

Due Dates & Resources for Quarter End-of-Year Reports

Four end-of-year reports require certification in June and July. These reports aggregate data from the entire school year’s reporting timeframe.

End-of-Year Exiting of Students from State Synergy

All student enrollments must be exited from State Synergy on or before June 30, 2024. This includes students who are attending year-round programs. Exiting students, either manually or via upload, with the most up-to-date code will help ensure that fall reports are accurate. This can specifically impact graduation and dropout reporting in the fall. Special Education Exit Report

Students who have exited special education services during the reporting period (school year 2023-2024, July 1-June 30) must have special education exit dates and an exit reason added to their enrollments in Synergy State Edition. Student information must be entered or uploaded into the Synergy State Edition by the school the student attends. If a student will still receive special education services next year, their special education status in Synergy remains the same. SAUs are required to certify the exit data using the Special Education Exit Report found in NEO on the Student Data/Student Reports module.
