Maine DOE Data Management Reports Opening Soon: Maine School Approval & ESEA Demographics Report

The following two Maine DOE Data Management Reports will open soon.

Maine School Approval:

Maine Schools is the process by which the Maine Department of Education (DOE) collects the organization’s information about Maine school administrative units (SAUs) and schools for the upcoming school year. Maine School Approval provides Maine DOE with the attestation from SAUs for meeting all Maine statutory requirements. This report offers an opportunity to update the SAU and school contact information to ensure that Maine DOE has the most current information. Student enrollments cannot be uploaded/entered into Synergy until Maine Schools is complete.

  • Open Date: 5/15,
  • Due Date: 7/30
  • Required to Report: All RSU’s CSDs, MSADs, Municipal school units, Maine Indian Education, charter schools, state-operated schools, and private schools. Updates in Synergy and NEO Staff will not be available without the completion of this report as this report informs the setup of schools in these systems for the coming school year.

ESEA Demographics:

The ESEA Demographics Report is an aggregation of students enrolled on 5/27 for participation in state assessments during the current assessment administration. This report includes student demographic categories for assessment and accountability purposes.

  • Open Date: 5/15
  • Due Date: 6/15
  • Required to Report: RSUs, CSDs, MSADs, municipal school units, Maine Indian Education, charter schools, state-operated schools, and private schools that accept publicly funded students.

Upcoming Data Reporting Webinars

The Maine Department of Education (DOE) Data Team has scheduled  the following data reporting webinars for this spring.


Maine Schools Webinar – April 30th at 10:00 am – Register Here

Maine School Approval provides Maine DOE the attestation from districts that all Maine statutory requirements are being met by each LEA. This report offers an opportunity to update the LEA & school contact information to ensure that MDOE has the most current information. Student enrollments cannot be uploaded/entered into Synergy until Maine Schools is complete. This webinar will review the requirements for the Maine Schools process.


ESEA Demographics Report Webinar – May 14th at 10:00 am – Register Here

The ESEA Demographics Report is an aggregation of students enrolled on 05/27 for participation in state assessments during the current assessment administration. This report includes student demographic categories for assessment and accountability purposes. This webinar will review reporting requirements and navigation of the ESEA Demographics Report in NEO.


EOY Reporting Webinar – May 21st at 10:00 am – Register Here

Daily Attendance, Truancy, Behavior, and Bullying reports are due for final certification at the end of the school year. This data is aggregated for public reporting after certification and reported in multiple locations including the Maine Department of Education Data Warehouse, ESSA Dashboard, and federal reporting. This report will review requirements for each of these four (4) reports and navigation of the reports in NEO.


EOY Enrollment Exits Webinar – May 28th at 10:00 am – Register Here

All students, even those intending to return next year, must be exited from Synergy at the conclusion of the school year. This webinar will review recommendations for properly exiting students at the conclusion of the school year and the process for exiting students from State Synergy.


Special Education Exit Report Webinar – June 4th 10:00 am – Register Here

Students who have exited special education services during the reporting period (July 1, through June 30) must have special education exit information (a special ed exit date and exit reason) added to their Special Education enrollments in Synergy State Edition. School Administrative Units (SAUs) are required to certify the exit data using the Special Education Exit Report found in NEO. This webinar will review the requirements and process for Special Education Exit Reporting.

Reports Due Soon: April 1 Enrollment & Quarter 3 Reporting

Attendance, Behavior, Bullying, and Truancy reports for Quarter 3 (January, February, and March) as well as any updates to previous quarters and the April 1 Enrollment Report opened on April 1st. These reports are due on Monday, April 15th.

These reports need to be reviewed and submitted in NEO Student Data. In preparation for this reporting, please update student data in State Synergy for enrollment, attendance, truancy, and behavior. Update bullying incidents in NEO.

Reminder: Quarter 2 Reporting is Open – Validation Due January 15

Attendance, Behavior, Bullying, and Truancy reports for Quarter 2 (October, November, and December) open as of January 1st.

Validation of these reports are due on Monday, January 15th.

These reports will need to be reviewed and validated. Superintendent validation is required for all quarterly reporting.

January 16th Webinar on Quarterly Reporting – Quarter 2 Reports Open

Join the Maine Department of Education (DOE) Data Team for a webinar about quarterly state reporting requirements – attendance, truancy, behavior, and bullying. There are no changes to quarterly reporting since the fall webinar; this is a refresher webinar.  Please note that the validation of Quarter 2 reports are due on January 15. Quarterly reporting can be updated all year and this webinar is designed to help you stay ahead of quarterly reporting throughout the year. Quarter 2 Reports are now open.

EF-M-39B Adult Education Subsidy Report Due Soon

The EF-M-39B Adult Education report is due on December 15, 2023. All public school administrative units (SAUs), excluding public charter schools, must report even if there are no pupils to report. Data entered into this report is based on the number of Resident Students from SAUs who are attending Regional Adult Education Programs. Students attending Adult Education Programs under Superintendent Agreements are reported by the attending SAU. This report is only intended to include students aged 16-20 years old who have exited regular education and are alternatively taking Adult Education courses. This report covers the reporting range from July 1st to December 30th of adult education students, courses, and credits/hours.

Civil Rights Data Collection (CRDC) Maine DOE Assistance Webinar

The Maine Department of Education (DOE) will be preparing some elements of the federal Civil Rights Data Collection to assist school administrative units (SAUs) and schools with the completion of reporting requirements. This report opens on December 11, 2023. The Maine DOE Data team will be hosting a webinar on Tuesday, December 5th at 10 am which will provide information about the elements we will be loading, the timeframe of the data input, and resources for CRDC reporting.
