Clarification on certification approval and renewal

The following message offers clarification on the status of approvals (criminal history records check) regarding Maine Department of Education’s certification process.

Dear Superintendents,

For those positions that require “approval” only, if you have someone that you intend to hire immediately AND you, the superintendent, have verified that this person has already submitted an application to the Maine DOE, then email the person’s name to the Department’s Director of Certification Bob Hasson at robert.g.hasson@maine.gov.

To verify an applicant’s submittal to the Maine DOE, visit the “Checking the Status of your Application” website here:
http://www.medms.maine.gov/medms_public/ReportPortal/Portal.aspx?CurrentLocation=/Public+Reports/Certification and enter the applicant’s social security number.
Note: If all fields are blank, then an application has not been received.

Also, the following clarifies the “renewal of approvals” process:

Renewal Approval – if the individual has submitted an application, his or her current approval is valid until their next approval is issued. Note, to be considered valid, the applicant must have been continuously employed and approved for the last five years in a Maine school system. However, if applicants have NOT been continuously employed and approved for the last five years in a Maine school system, they will need to first renew their criminal history record check. For more information, go to: http://www.maine.gov/doe/cert/fingerprinting/renewal-instructions.html.

Superintendents are also reminded to guide initial applicants to the fingerprinting instructions below. Before an application can be processed, the applicant must have their fingerprints taken.

Applicant Instructions:

  1. Register for fingerprinting online with the IdentoGO. No fingerprinting can take place until registration is complete. There is a one-time $55 fee for this process.
  2. Once you have registered, you will receive a confirmation number. Take your confirmation number and a picture ID (a driver’s license or Maine State ID is preferred) to the fingerprint site.
  3. Send the approval application to the Department of Education. A $15 non-refundable fee is to accompany this application. Make check payable to: Treasurer, State of Maine.
